Customizable & Branded Rightsizing Recommendation Emails to Improve Trust and Execution

Customers are experiencing low adoption and execution of rightsizing recommendations due to limited trust in the automated emails generated from Rightsizing ROI. In large enterprises, these emails are often flagged or perceived as potential spam, phishing, or non‑official system communications—especially when they originate outside established internal tooling or lack recognizable corporate branding.

As a result, recipients may:

  • Ignore or delete rightsizing emails
  • Question their legitimacy
  • Avoid clicking links or taking action on recommendations

This significantly reduces the effectiveness of rightsizing notifications as an execution mechanism.

Current Behavior

  • Rightsizing ROI sends automated recommendation emails using a fixed, system‑defined template.
  • Customers have no ability to:
    • Customize email content or messaging
    • Add internal context or documentation links
    • Apply corporate branding (logos, naming, internal language)
  • Emails may not align with internal security, communications, or FinOps governance standards, leading to mistrust or filtering by corporate email systems.

Desired Behavior

Introduce email customization and branding capabilities for Rightsizing ROI notifications, allowing customers to align them with internal, trusted processes.

Potential enhancements include:

  • Templated emails with customer‑defined content
    • Custom introduction or explanation text
    • Company‑specific terminology or FinOps messaging
  • Embedding links to internal corporate documentation
    • Internal runbooks
    • Approval processes
    • FinOps or cloud governance guidelines
  • Optional branding elements
    • Company logo
    • Custom sender name / display name
    • Messaging that clearly positions the email as part of an approved internal process

User Value

This enhancement would:

  • Increase trust and legitimacy of rightsizing emails within large enterprises
  • Reduce the likelihood of emails being flagged as spam or phishing
  • Improve engagement with recommendations
  • Drive higher execution rates by embedding rightsizing into established internal procedures
  • Support compliance with internal security, communications, and governance standards
